Adding and Managing Contacts

A step-by-step guide to creating contacts, importing contact lists, updating contact information, and managing groups in Easify.

Contacts are the foundation of your communication and marketing activities in Easify. You can add contacts individually, import them in bulk, organize them into contact groups, and manage their information from the Contacts section.

Watch the tutorial below for a walkthrough of adding and managing contacts in Easify.

1. How to Add a Contact Manually

You can add a contact individually by entering their details in Easify.

Follow these steps:

  1. Navigate to Contacts > All Contacts in the left-hand menu.

  2. Open Group View and select the contact group where you want to add the contact.

  3. Open the three-dot menu in the group view and select Add New Contact.

  4. Enter the contact's details in the form:

    • First Name: Enter the contact's first name.

    • Last Name: Enter the contact's last name, if available.

    • Phone Number: Enter the contact's phone number.

    • Email: Enter the contact's email address.

    • Company: Enter the company associated with the contact, if applicable.

    • Additional Information: Enter any relevant details in the additional fields.

    • Custom Fields: Add custom fields to store other information specific to your business, if needed. You can add up to 10 custom fields.

  5. Ensure that the contact has either a phone number or an email address.

  6. Click Submit to save the contact.

The contact will be added to the selected group.

2. How to Import Contacts in Bulk

If you have a list of contacts to add, you can import them into Easify using a CSV file instead of creating each contact individually.

Step 1: Prepare your CSV File

Before uploading your contacts, prepare a CSV file containing the contact information you want to import. You can download a sample file and refer to it to prepare your CSV File.

  • Include the relevant contact details, such as first name, last name, phone number, email address, and company.

  • Ensure that the column headers and data are formatted correctly.

  • Check for duplicate contacts and missing required information.

  • Save the file in CSV format. Easify accepts contact uploads in CSV format only.

Step 2: Upload your Contacts

  1. Navigate to Contacts in the left-hand menu.

  2. Open Group View and select the group into which you want to import contacts.

  3. Click Import.

  4. Select and upload your prepared CSV file.

  5. Follow the on-screen instructions to complete the import.

Step 3: Check Import History

After uploading your contacts, you can track the import status and review the details in the Import History section.

  1. Navigate to Contacts > Import History.

  2. Review the import records to check the file name, contact group, total contacts, skipped contacts, stored contacts, and import status.

  3. Check the Status column to confirm whether the import is completed.

  4. To view the details of an import, click the three-dot menu under Actions and select View.

  5. If any contacts were skipped during the import, select Export Skipped from the same menu, where available, to download the skipped contact records for review.

Once your contacts have been imported successfully, you can click Start Campaign next to the relevant import record to begin creating a campaign using those contacts.

Common reasons for import failures include:

  • Duplicate contacts: The phone number or email address already exists in your account.

  • Missing phone number: A required phone number is missing from the relevant column.

  • Invalid characters: The First Name or Phone Number field contains unsupported characters.

For additional help, refer to Troubleshooting Contact Imports.
